Who we are
LifeDesk ("we", "our", "us") is an app for organising your personal life, your family and your business: documents, important dates, reminders, tasks, people, business records, invoices, bookings and a marketplace. Contact: [email protected].
What we collect
- Account: your name, email address, phone number and profile photo. If you sign in with Google, Google gives us your name, email address and profile photo — never your Google password.
- What you save: documents and photos you upload (for example passports, IDs, contracts), the dates and details read from them, tasks, reminders, notes, family members and people you add, vehicles and property.
- Emergency card (optional): health details you choose to add, such as blood group, allergies, medicines and emergency contacts. Only shown to people you share the card link with.
- Business data: companies, customers, suppliers, products, stock, invoices, payments, employees, bookings and inspection reports that a business enters.
- Marketplace and chats: ads you post with their photos, saved ads, and messages you send to other people in LifeDesk.
- Get quotes (job requests): the service you need, your description, photos you add, city and area, when you need it, an optional budget and an optional phone number. Businesses that do that job see the request without your name or phone. When you choose a business (or book its offer), that business gets your name and the phone you gave, to arrange the job. Your star rating and comment for a business you chose are shown on its page with your first name only.
- Businesses that take jobs: the services and cities you choose, the prices and messages you send, your offers (with photos), your business name, logo and the phone/WhatsApp you add for customers. Your business page shows your name, logo, city, rating, reviews and offers.
- Customers of LifeDesk businesses: if you book with a company through its LifeDesk booking page, we store the name, phone, email, car and address you give, for that company.
- Device data: a notification token (if you allow phone alerts) and basic sign-in times. We do not use your device location, contacts list or advertising ID.
- Usage and errors: which pages are opened (counted, not linked to your documents), where you came from (for example a link with ?src=), searches you make in LifeDesk, and error reports when something in the app breaks — to fix problems and improve LifeDesk.
- Kept only on your phone: the app-lock PIN (stored as a one-way code) and the Face ID / fingerprint key stay on your device and are never sent to us. If you use the wallet without internet, copies of your document list and the photos you opened are kept on the phone and are removed when you sign out.
How we use it
- To run LifeDesk for you: store and show your data, read dates from documents, and send the reminders you switch on (in-app, phone alert, email, WhatsApp).
- To let businesses work: send invoices, booking confirmations and reminders to their customers.
- To answer questions you ask the LifeDesk assistant.
- To keep LifeDesk safe: stop abuse and spam, and check reported ads.
We do not sell your data, and we do not share it with advertisers.
Services that process data for us
- Supabase — database, sign-in and file storage.
- Cloudflare — hosting the website.
- OpenAI — reads documents you upload to find names, numbers and dates, and answers the assistant. A short summary of your own LifeDesk data is sent with your question. OpenAI does not use API data to train its models by default.
- Amazon Web Services (Textract) — backup document reading if the first one fails.
- Resend — sending emails (reminders, booking confirmations).
- Google — “Sign in with Google”, only if you choose it.
- Ziina — card payments for LifeDesk plans. We never see your card number.
- flagcdn.com and Google Fonts — load country flags (sports scores) and fonts; like any website they see your IP address, not your LifeDesk data.
- Meta WhatsApp Business — WhatsApp reminders, only if you add your WhatsApp number and switch them on.
Payments: LifeDesk does not take or hold payments between businesses and their customers. A business may show its own payment link (for example Ziina, Stripe, PayPal or Tabby) or bank details; you pay that business directly on the provider's own page, and LifeDesk never sees your card.
Who can see your data
- Businesses on Get quotes, as explained above: your job request without your name or phone, and your name and phone only for the business you choose.
- Your private calendar link (if you make one) shows your document names, expiry dates and reminders to anyone who has the link — like a password. You can make a new link at any time, which stops the old one.
- You, and the people you invite to your workspace (family or team), with the access you give them.
- Public links you create (invoice, report, store, booking page, emergency card) can be opened by anyone who has the link. You can turn sharing off.
- LifeDesk admins, only to give support, check reported content or delete an account.
Security
Data is encrypted in transit (HTTPS). Your workspace data is protected by row-level security, so other users cannot read it. Private documents are stored in private storage.
How long we keep it
We keep your data while your account is open. When you delete something it is removed. When you delete your account, your account and the workspaces you own are deleted within 30 days. Backups are kept for up to 35 days (monthly backups up to 12 months) and then deleted.
Delete your account
In the app: Menu → Account settings → Delete my account. Or see lifedesk.site/delete-account.html.
Your rights
You can see, change, export or delete your data. Email [email protected] and we will reply within 30 days.
Children
LifeDesk is for adults (18+). We do not knowingly collect data from children. Parents may add family members, including children, to a family workspace; that data belongs to the parent's account.
WhatsApp messages
If you add your WhatsApp number and switch on WhatsApp reminders, we send you reminder messages. Remove the number in your notification settings to stop them.
Changes
If we change this policy we will update the date at the top and tell you in the app when the change is important.
